Privacy Policy

Overview
Elite Bartending operates a staffing and event-management platform used by our organization's administrators, bartenders and event staff ("employees"), and the clients and venues we staff for. This policy explains what personal information our web portal and mobile app collect, why, how it is used and protected, and the choices you have — including deleting your account.
This policy covers only the Elite Bartending web portal (portal.elitebartending.com) and the Elite Bartending mobile app. It reflects the application's actual behavior as implemented; it does not describe hypothetical or planned features.
Information we collect
We collect the following categories of information, depending on your role:
- Account and profile information — your name, email address, phone number, and (for bartenders) a bio, years of experience, and certification name/date.
- Profile photograph — an optional photo you upload for your profile.
- Certification and identity documents — a certification file you optionally upload, and operational documents (e.g. contracts, venue paperwork) that administrators upload and share with your organization or client.
- Organization and client membership — which organization or client account you belong to, and your role within it (admin, employee, client admin, client viewer).
- Events and staffing activity — events you are assigned to or staff, shift-coverage requests and offers, and internal ratings, warnings, and notes an administrator records about your work (these are never visible to other employees or to clients).
- Clock-in / clock-out records and precise location — when you clock in or out of an event in the mobile app, we capture your device's precise GPS location at that moment, solely to verify you are at the event location. See "Location information" below for exactly when and how this is used.
- Announcements and messages — announcements published to your organization, client, or event, and messages you send or receive in event group chats or in direct messages between an administrator and a bartender.
- Push notification identifiers — a device push token used to deliver notifications to your phone, and your notification/mute preferences.
- Basic usage information — a daily count of app or site opens per platform (mobile or web), used only for internal reporting to platform administrators. This does not include your location, message content, or document content, and is not shared with or purchased from any third party.
We do not use any third-party analytics, advertising, or tracking SDKs. We do not sell your information, and we do not use your information for advertising.
Location information
The Elite Bartending mobile app requests your device's location only in the foreground, and only at the moment you tap "Clock in" or "Clock out" for an event — to verify you are at the event location before your shift is recorded. We do not request or use background or "Always" location access, and we do not track your location at any other time.
The location captured at each clock-in/out is stored as part of your organization's attendance record for that event, together with a computed distance from the event venue. An organization administrator can also record a clock-in/out manually, without any location, when GPS is unavailable or denied.
How we use your information
- To create and manage your account and verify who you are when you sign in.
- To schedule, staff, and coordinate events, and to record staffing history.
- To verify attendance at events through clock-in/clock-out location checks.
- To let administrators manage their team, including internal ratings, warnings, and notes that are never shared with employees or clients.
- To deliver announcements, in-app notifications, and push notifications.
- To enable messaging between event teams and between administrators and staff.
- To operate, secure, and improve the service, and to respond to support requests.
How your information is protected
Access to your data is enforced at the database level (row-level security), so a given user can only read the organization, client, event, and conversation data they are actually authorized to see — this is enforced independently of the app's user interface. Profile photographs, certification files, and operational documents are stored in private storage that only you and authorized administrators can access. Passwords are never visible to Elite Bartending staff; they are managed by our authentication provider (Supabase Auth).
Service providers
We rely on the following service providers to operate the platform:
- Supabase — database, authentication, file storage, and backend hosting.
- Resend — delivers transactional email (client invitations, and account emails sent through Supabase's email service).
- Vercel — hosts the web portal.
- Apple Push Notification service / Expo — delivers push notifications to the mobile app.
These providers process information only as needed to provide their service to us; they do not have independent rights to use your information for their own purposes.
Data retention
We retain your account information for as long as your account is active. Organizations may need to retain certain business records — for example, staffing and attendance history — after an individual's account is deleted, for legitimate business and legal purposes such as payroll and labor-record obligations. When that happens, we remove or anonymize the personal identifiers on those records rather than keep them linked to your account; see "Deleting your account" below for specifics.
Deleting your account
You can permanently delete your account at any time from inside the mobile app, under Profile (or Settings) → Account → Delete Account. Deleting your account:
- Permanently removes your login, profile information, profile photograph, and certification file.
- Removes your device push token and in-app notification history.
- Removes your personal identifier from staffing, attendance, and internal HR records your organization needs to keep for legitimate business purposes — the records themselves may be retained, without your name or account attached to them.
- Signs you out everywhere and prevents the deleted account from signing in again.
If you are the only administrator of an organization, or the platform's only super administrator, you will need to assign another administrator before you can delete your account, so an organization is never left without anyone able to manage it.
Your choices
- Edit your profile information at any time from Profile → Edit profile.
- Mute or unmute notifications per conversation, and manage push notification permission from your device settings.
- Request a copy of, or a correction to, your information by contacting us (below).
- Delete your account as described above.
Children's privacy
Elite Bartending is a workforce and staffing tool for adult employees, clients, and administrators. It is not directed at children, and we do not knowingly collect information from children.
Changes to this policy
We may update this policy as the service changes. We will update the effective date above when we do.
